The operating problem

Promising buyers rarely disappear because nobody cared. They disappear when a useful conversation ends without a visible commitment and normal work pushes it out of view.

An inbox preserves messages, but it does not reliably show whether the buyer is qualified, what changed after the viewing or who must act next.

A practical system

Keep five facts current for every active buyer: requirement, stage, last meaningful activity, next action and responsible person. Add a due date whenever timing matters.

After an enquiry

Capture the buyer’s objective and the minimum relevant criteria. Do not create a record from every low-quality contact automatically; use a defined qualification step.

After a viewing

Record the outcome, not a transcript. Note whether the property remains relevant, what objection or question must be resolved and the next agreed action.

When a buyer goes quiet

Use the last meaningful activity and next-action date to decide whether to follow up, pause or close the opportunity. Avoid artificial urgency and endless automated messages.

What to review

  1. Overdue buyer commitments.
  2. Qualified buyers without a dated next action.
  3. Viewings awaiting feedback.
  4. Offers or document requests awaiting a third party.
  5. Inactive requirements that should be paused or closed.

Choosing software

Test the full daily route: add a buyer, update requirements, connect a property, record a viewing and schedule the next action. If that sequence is slow, the team will return to memory and private messages.

The outcome

A reliable follow-up system does not ask agents to record everything. It preserves enough context to make the right conversation reappear at the right time.
