Start with movement, not storage
Contacts, properties, tasks and conversations may each be stored correctly. The operational problem appears between them. A buyer requirement changes but the shortlist does not. A valuation is delivered but the seller follow-up remains in memory.
The rule
For every active opportunity, define one owner, one next action and one due date. This works across buyer, seller, listing and deal workflows.
Examples
- Confirm proof-of-funds status with the buyer on Tuesday.
- Send the valuation summary by 16:00 on Thursday.
- Confirm photography access with the owner by Friday.
- Ask the buyer’s lawyer to confirm the outstanding document on Monday.
Review the commitments
A daily view should reveal due and overdue actions. A short weekly review should correct inaccurate stages, close completed actions and give every still-active opportunity a new dated commitment.
The outcome
The objective is not to record more. It is to make important work reappear at the moment it can be acted upon.
