Give every matter an operational owner

Each active matter should identify the responsible professional, present stage, latest meaningful activity and one dated next action. Shared responsibility without a named owner creates invisible gaps.

Record deadlines; never infer them

Dates should be entered and checked by an authorised professional under the firm's own procedure. The system can surface a recorded deadline, but it should not decide which jurisdictional rule applies or calculate the legal date.

Separate “your move” from “waiting for”

A firm needs to distinguish work it controls from items waiting on a client, court, counterparty or third party. Both require visibility, but they lead to different next actions and escalation decisions.

Connect documents to readiness

A document list becomes useful when it shows what has been requested, received, reviewed and signed, and who is responsible for the next step. It should not become a substitute for the firm's approved document-management and confidentiality controls.

Build a partner review rhythm

  1. Matters with recorded deadlines approaching.
  2. Overdue activities and matters without a next action.
  3. Clients awaiting an administrative update.
  4. Outstanding documents, provisions and recorded balances.
  5. Matters ready for handover, closure or archive.
